The business data we use

We use a limited amount of professional information to identify relevant businesses and the right person to contact. This may include:

  • Your name, work email address, job title and employer.
  • Public information about your organisation, projects, location or likely service requirements.
  • Basic delivery and response records, such as whether an email was sent, bounced, replied to or opted out.

Information may come from public business websites, professional sources and the business data provider Apollo. We do not use sensitive personal data for this outreach.

Why we may contact you

The purpose is to introduce relevant passive fire protection services to corporate businesses that may reasonably need them. The lawful basis is legitimate interests under UK GDPR. Before contact, relevance should be considered against the effect on the individual receiving the email.

This campaign is intended for corporate subscribers. It is not used to email consumers, sole traders or unincorporated partnerships unless a separate lawful basis permits that contact.

We do not use open tracking or link-click tracking for this outreach. Automated tools may help prepare or classify business messages, but they do not make decisions that have legal or similarly significant effects on recipients.

You can stop contact at any time

Reply to any campaign email and ask not to be contacted, or email team@alturasystems.co.uk. Your objection will be respected. We may keep the minimum information needed on a suppression list so that we do not contact you again.

Service providers

We use service providers where needed to research, prepare, send and manage the campaign. These include:

  • Apollo for business contact research.
  • Smartlead and Google Workspace for sending and receiving campaign emails.
  • Supabase and Railway for campaign data storage and processing.
  • Anthropic for assisted drafting and reply classification.

Some providers may process data outside the UK. Where UK data protection law requires it, those transfers must be covered by an approved safeguard.

How long we keep information

Prospect information is kept only while it is reasonably needed for the campaign, to respond to a business enquiry, or to meet legal obligations. Records are reviewed and removed when no longer needed. A limited suppression record may be retained for longer so an opt-out continues to be honoured.

Your data protection rights

Depending on the circumstances, you may ask to access, correct, delete or restrict the use of your personal data. You also have an absolute right to object to your data being used for direct marketing.

Contact team@alturasystems.co.uk to exercise a right or raise a concern. You may also complain to the UK Information Commissioner's Office at ico.org.uk.
